How to use this ledger

1. Add your rental units

Start by naming each property or unit you manage. Use short labels like "456 Elm Apt 2" or "Lake House". You can add up to five. These names appear in the entry form dropdown so every dollar is tied to the right place.

2. Log every transaction

Each time rent arrives or you pay a bill, add an entry. Pick the date, unit, and category. The preset categories match common tax deduction lines: repairs, insurance, utilities, legal fees, and more. Add a short description so you remember what it was for later.

3. Check your summary

The summary panel shows total income, total expenses, and your net for the selected tax year. Filter by unit to see how each property performs. The category breakdown helps you see where the money goes, which is useful when filling out tax forms.

4. Export at year end

Click Export CSV to download a spreadsheet-friendly file. Open it in any spreadsheet program or send it to your tax preparer. Click Print Summary for a paper copy to keep with your records.

Common mistakes to avoid

  • Mixing personal and rental expenses. Only log costs that are for the rental property. If you share a utility bill with your own home, log only the rental portion.
  • Forgetting small repairs. A $30 plumbing fitting counts. Small expenses add up over a year and reduce your taxable income.
  • Not saving receipts. This ledger tracks amounts but does not store photos. Keep paper or digital receipts in a folder for your records.
  • Waiting until tax time. Log entries monthly. It takes two minutes and saves hours in April.

Shared costs and mixed-use units

If you live in one unit of a duplex and rent the other, only the rental portion of mortgage interest, property taxes, and insurance is deductible. Log the full amount in the ledger, then adjust the percentage when you file. A common split is 50/50 for a duplex, but your actual ratio may differ. Check with a tax professional.

What this ledger does not do

This is not full accounting software. It does not collect rent, send tenant notices, track lease dates, or reconcile with your bank. It is a focused record for income and expenses. For tenant management, look into dedicated property management tools.
